This notice explains how personal data is processed in connection with the ICALP 2027 conference website and related conference administration, in accordance with Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR).

1. Data Controller

The data controller for personal data processed via this website is the ICALP 2027 Organizing Team at Jagiellonian University, Krakow, Poland.

2. Categories of Data

Depending on your interaction with the website and conference services, we may process: identification and contact data (name, email address, affiliation), registration and participation data, billing data (if applicable), communication records, and technical data required for website operation (for example IP address, browser metadata, and consent preferences).

3. Purposes and Legal Bases (Art. 6 GDPR)

We process personal data for the following purposes: conference organization and participant communication, handling submissions and reviews where applicable, issuing invoices and maintaining accounting records, ensuring website security and technical operation, and compliance with legal obligations.

Legal bases include: performance of a contract (Art. 6(1)(b)), compliance with legal obligations (Art. 6(1)(c)), legitimate interests such as service security and event management (Art. 6(1)(f)), and consent where required (Art. 6(1)(a)).

4. Recipients of Data

Data may be shared with authorized organizers, program and review committees (where relevant), IT and hosting providers, payment/accounting providers, and public authorities where required by law. All recipients are limited to data necessary for their role.

5. International Transfers

If personal data is transferred outside the European Economic Area (EEA), such transfer is made only with appropriate safeguards under Chapter V GDPR (for example, adequacy decisions or standard contractual clauses).

6. Retention Period

Personal data is retained only for as long as necessary for the purposes listed above, and thereafter for any period required by applicable law (for example accounting and audit obligations). When data is no longer required, it is deleted or anonymized.

7. Data Subject Rights

Under GDPR, you may have the right to access your data, rectify inaccurate data, erase data, restrict processing, object to processing, receive your data in portable form, and withdraw consent at any time where processing is based on consent.

You have the right to lodge a complaint with the competent supervisory authority, in particular in the EU Member State of your habitual residence, place of work, or alleged infringement.
